Whether you are an office complex with a few meeting rooms or one with many, there are always
confrontations over bookings and booking priorities.
If it's not the argument of who booked when, it's the embarrassing moments as individuals walk into the
wrong rooms, are not sure where they are going or who is in which meeting. Often, the control of the
meeting rooms is delegated to or left in the hands of a receptionist, facilities manager or PA who find
themselves liaising with managers and colleagues whilst trying to keep their records up to date.
A simple room scheduling system can help to quickly, easily and cost effectively overcome these issues.
Network based and either hardware or software led, there are a number of excellent systems available.
The Room Scheduler allows a person to review available rooms within a corporate or educational
environment whether in one building or over a number of buildings in different locations, nationally or
internationally. Access can be via an Internet browser or the company network integrated with and utilising
known systems such as Microsoft Outlook.
Room availability can be viewed for long periods in advance and where there are varying types of rooms,
their size, configuration, available facilities and equipments can also be seen. Users can book the systems
online and, where permitted or set-up depending on the system, other facilities such as car park spaces,
'hot-desks', refreshments and more.
The systems can also act as a search facility helping you to locate colleagues, meetings, presentations etc
as well as have it invite guests and send reminders.
All the systems supplied by Phoenix AV feature an Interactive Touch Screen (an option for Condeco) which
is mounted outside the room. Connected via the network, this displays room information, meeting times
and via red / green indicator lighting on the outside of the screen - occupancy.
